Club Policies
Registration
The Dynamique Volleyball Club is an NPO which aims to develop competitive volleyball for all in the Montreal region. To do this, Club offers training and competition opportunities to its members. Gym rental fees, coaching fees, and equipment and operating fees are shared among members enrolled in the given program. Members are provided with the priority program registration.
Safety and Health
Players must use appropriate and well-maintained equipment. Report any damage or issues immediately.
Any injuries sustained during practice or games must be reported to the coach immediately. Coaches will follow the club’s protocol for handling injuries.
Players should not participate if they are ill or have a medical condition that could be exacerbated by physical activity. Parents should inform the coach of any relevant health concerns.
Harassment and Discrimination
The club has a zero-tolerance policy for any form of harassment, bullying, or discrimination based on race, gender, sexual orientation, disability, or any other characteristic.
Incidents of harassment or discrimination should be reported to a coach, club administrator, or through the club’s designated reporting channels. The club will investigate all reports and take appropriate action.
Travel
Players are responsible for their own transportation to and from local games. For away games, the club will coordinate group travel arrangements where feasible.
Any overnight stays or accommodations for travel will be arranged by the club or as specified by the travel coordinator. Players and parents must adhere to the travel schedule and guidelines provided.
Social Media
Individuals are encouraged to share positive and supportive content related to the team. Negative or harmful posts about players, coaches, or the club are prohibited.
Obtain permission before posting photos or videos of other players or coaches. Respect the privacy of others and avoid sharing sensitive information.
Financial
All membership, registration, and other associated fees must be paid by the deadlines set by the club. Failure to do so may result in restricted participation.
Participation in fundraising activities may be required or encouraged. All fundraising efforts should align with the club’s guidelines and objectives.
Refund and Cancellation
Request to Cancel PRIOR to the start of a training session
If a parent/player requests to cancel before a training session has started, they may choose either a full credit toward a future training session (usable by anyone on the family's account) or a refund minus a $50 administration fee (returned to the original payment method).
Request to Cancel AFTER THE START of a training session
If a player/parent requests to cancel before 50% of the session is complete, they will receive a pro-rated refund for the remaining sessions, minus a $50 administration fee. No refunds will be provided after 50% of the program is completed.
Personal Absences or Sickness Absences
You may make up any missed training in an equivalent time slot during the same session (credits do not transfer between sessions).
Refund Policy for Club Competition Team Registration Fees
Except in extenuating circumstances, no refunds will be given for club team registration fees after a player has committed. Refund requests will be considered on a case-by-case basis.
Cancellation of a Program by the Club
In the event a training must be cancelled for any reason prior to its scheduled conclusion, the Club will provide a pro-rated refund for any recoverable costs associated with the registration fee or we will offer you a make-up date or an equivalent training.
Discipline
All players, coaches, and parents are expected to follow the club’s Code of Conduct. Violations may result in disciplinary action.
Disciplinary actions may include verbal warnings, written warnings, suspension, or removal from the club, depending on the severity and frequency of the violation. An appeals process should be in place for those who wish to contest disciplinary actions.
Volleyball Risks
There are risks and dangers associated with playing volleyball. Examples of such risks include, but are not limited to, rigorous physical exertion, falls or collisions, dehydration, mechanical failure of volleyball equipment and transportation to and from the event, activity or competition. Volleyball injuries can be severe. The regulations put in place by our coaches exist to increase the level of safety for athletes and must be followed at all times.
Responsibility
Club and board members are not responsible for injuries, damages or losses. By registering for our programs, or registering your children, you agree to follow the instructions of our coaches, the risks related to volleyball, and assume responsibility for any injury, damage or loss incurred during the holding of our activities or travel to an activity. Waiver must be signed and returned to the club before the start of the first practice of any session.
Personal Equipment
The Club will provide, during its activities, the necessary equipment for team volleyball practice - gymnasium, court, net, balls. Participants are responsible for coming equipped with appropriate sports clothing for participation in volleyball training. This includes:
Indoor or volleyball-specific running shoes
Appropriate clothing (shorts & t-shirt)
Bottle of water
